Independent guide · CallRail
Half your enquiries are phone calls. Track them.
Dentistry is unusual. A large share of enquiries, particularly implants and emergencies, arrive by phone rather than by form. Without call tracking, that half of your marketing is invisible and every report you receive is measuring the wrong thing.
Call tracking assigns different phone numbers to different marketing sources, so when a patient rings you can see which advert, search term or page produced the call. In dentistry it matters more than in most sectors because a large share of high value enquiries, implants and emergency appointments in particular, come by phone rather than through a web form. Tools such as CallRail forward tracked numbers to your existing practice line, so nothing changes for your team. Recording calls is permitted with appropriate notice and a lawful basis.

Features
What CallRail does.
The functional areas that matter to a practice owner, and why each one has a commercial consequence rather than just a technical one.
| Area | What it does, and why it matters |
|---|---|
| Dynamic number insertion | The number shown on your website changes depending on how the visitor arrived, so a call from a Google ad is distinguishable from one from organic search. |
| Call recording | Recordings you can listen back to. This is the feature that changes practices, because most discover their problem is the conversation rather than the campaign. |
| Knowing where each call came from | Each call tied to campaign, search term or page, which lets you report cost per patient instead of cost per click. |
| Missed call alerts | Notification when an enquiry rings and nobody answers, which is money already spent and thrown away. |
| Form and call together | Counting calls alongside form enquiries, because ignoring calls understates every campaign in dentistry. |
| Integrations | Connects to ad platforms and CRMs so call data appears where the rest of your enquiry data lives. |
What it looks like

A look at the interface your team would be working in every day. Worth doing a demo before you decide, because how a diary feels at half past eight on a Monday matters more than any feature list.

What users report
The honest picture.
The points below are questions for a demo and independent review, not a verified summary of customer feedback.
- Makes the phone half of dental marketing visible for the first time
- Call recordings are the single most useful diagnostic a practice owner has
- No change to how the team answers the phone
- Missed call alerts recover enquiries that would otherwise be lost silently
- Makes cost per patient calculable rather than estimated
- Another monthly subscription, billed on usage
- Set up carelessly, inconsistent numbers across the web can affect local search
- Call recording requires proper notice and a lawful basis, which needs setting up correctly
- Recordings only help if somebody actually listens to them
Review themes change as products change. Check current reviews on independent directories before making a decision, and ask the vendor directly about anything that concerns you.

Who it suits, and who it does not.
- Any practice running paid advertising
- Implant and emergency focused practices

- Groups needing a number per site
- Practices with almost no phone enquiries, which is rare in dentistry
Marketing integration
Connecting CallRail to your marketing.
Check the supported connection and actual workflow before agreeing an integration. A booking request, export and live diary connection are different arrangements.
| What we set up | Why it matters |
|---|---|
| Enquiry capture | Every website form, phone call, WhatsApp message and social enquiry landing somewhere consistent, tagged with the campaign that produced it, before anyone touches it. |
| Booking route | The shortest path from an advert to an appointment your team can see. Whether that is a direct connection or a fast request and confirm depends on the system. |
| Call tracking | Phone enquiries need source tracking too. Measure their actual share for your practice. call tracking guide. |
| Instant response | An automatic acknowledgement can confirm receipt; agree staffed response times and measure whether follow-up improves bookings. |
| Follow up sequences | A follow-up schedule agreed around the enquiry, the requested channel and the patient’s preferences. Respect opt-outs and avoid indefinite promotional sequences. |
| Recall and reactivation | Contact eligible patients using a documented lawful basis, appropriate permissions and working opt-outs. Existing records alone do not establish marketing permission. |
| Knowing what worked, and reporting it | Enquiries, booked, attended, accepted and treatment value, set against spend. One page a month, drawn from your own numbers rather than platform estimates. |
Questions and answers
Common questions about CallRail.
What is call tracking and how does it work?
Call tracking gives each marketing source its own phone number, forwarded to your normal practice line. When a patient rings, the system records which advert or page produced the call, so you can attribute enquiries that never touch a web form.
Will call tracking change our practice phone number?
No. Tracked numbers sit in front of your existing line and forward to it. Patients ring, your phone rings, and nothing changes for the team answering it.
Does call tracking hurt local SEO?
Not if set up properly. Your real number stays as the primary detail on your Google Business Profile and directory listings. Problems only arise when tracked numbers replace the real one inconsistently across the web.
Is it legal to record patient calls in the UK?
Recording is permitted with appropriate notice to callers and a lawful basis for doing it. An announcement at the start of the call and correct privacy wording are the usual requirements. Your compliance lead should approve the arrangement.
How much does call tracking cost?
Providers typically charge a monthly platform fee plus usage for numbers and minutes. It is billed to you directly by the provider. Set against the value of one recovered implant enquiry, it is among the cheapest things in a marketing budget.
What do practices usually discover?
That enquiries ring outside the hours anyone is available, that calls go unanswered at lunchtime, or that the price question is being handled in a way that ends the conversation. All three are free to fix once you can hear them.
Do we need it if we already have a CRM?
They do different jobs. A CRM manages the enquiry after it arrives. Call tracking tells you where it came from. Together they let you report from advert to accepted treatment.
